About Our Opportunity

A fantastic opportunity has arisen for a highly motivated Financial Services Officer to join our team.  The Financial Services Officer supports the day-to-day financial operations of the school, with primary responsibilities in accounts payable, accounts receivable, and student billing. This role ensures accurate and timely processing of vendor invoices and payments, preparation and reconciliation of tuition and fee accounts, and management of the student billing cycle. Working collaboratively with the Finance team and school administrators, this position helps maintain accurate financial records, supports budgeting and reporting processes, and provides a welcoming and supportive environment for families, students, staff, and vendors.
Primary Responsibilities
  • Manage student billing with regular posting of various charges to student accounts
  • Assist with the setup of student accounts in Student billing database, invoicing of tuition fees, scholarship awards, credit card, and file management
  • Responsible for oversight and collection of aged accounts receivable
  • Enter all collections and process payments to student accounts received by wire
  • Enter all collections and process payments to student accounts received by cash, cheque and credit cards
  • Organize and manage the accounts payable process including receiving and verifying invoices, processing payments, charging of departmental accounts, and maintaining an efficient filing system.
  • Act as first line contact with clients and vendors regarding billing inquiries
  • Prepare bank deposits for credit cards, cheques, and cash
  • Prepare journal entries and reports s required
  • Manage the petty cash fund including distributions, record keeping, and monthly reconciliation
  • Assist with the Reconciliation of faculty credit card statements allocating charges to appropriate expense accounts/student jobs
  • Review and administers staff reimbursements
  • Liaise with school trip administration staff, providing budgeting and trip financial planning support
  • Assist with accounts payable by setting up suppliers and entering invoices
  • Perform other clerical duties, such as maintain filing and record systems
Qualifications and Requirements
  • Post-secondary education in finance, accounting, payroll, or office administration preferred
  • Minimum 3 years experience in a similar multifunctional role considered an asset
  • High level of speed and accuracy with data entry and excellent attention to detail
  • Highly organized and reliable
  • Proven ability to work effectively in a busy team environment and provide excellent customer service
  • Strong analytical, mathematical, and problem-solving skills
  • Strong oral and written communication skills
  • Strong Excel skills and familiar with Microsoft products and other accounting systems
  • Ability to maintain strict confidentiality
  • Must have a valid NS driver’s license
  • Bilingual English and French or Spanish would be an asset
